We are a strong regional property owner/operator that has a portfolio of life sciences, commercial office and medical office buildings. As we grow, we find we need an assistant property manager (APM ) to help support day to day property management functions and assist our Senior property manager in our New Haven portfolio. The focus of the job is to support the SPM in all aspects of property management pertaining to approximately two million square feet of commercial real estate in the New Haven CT, and future acquisitions and development projects.

What You Will Be Doing

- Assist the SPM with completing both operating and capital budgets for properties under the supervision of the SPM.
- Review monthly operating reports, maintain monthly reforecasts, and help prepare monthly accruals for accounting dept.
- Assist in procurement of contracts: create RFP documents; contact and meet with vendors; obtain bids and prepare leveling sheet; provide recommendation for awards.
- Assist with tenant requests and building operations with the support of the SPM and facilities management (FM) staff.
- Collaborate with FM staff on property and operational issues including managing Building Engines (web-based tenant communication/work order application) work order reports and assist with the oversight and scheduling of the FM team to complete work orders and preventive maintenance throughout the portfolio.
- Attend routine meetings with the facilities team to review and discuss facility maintenance requests/work orders and conduct analysis of issues.
- Participate in construction meetings relating to tenant improvement work.
- Schedule site visits regularly, identify and document corrective needs by creating work orders in Building Engines or Prism.
- Assist with the management and review of lease compliance (e.g., Storm Water Management and Snow Removal Landlord or Tenants Responsibility).
- Assist with filing of property related property files in Sharepoint and company directories (e.g., contracts, proposals, vendor equipment & system reports and completed maintenance reports).
- Track and document tenant utility usage monthly.
- Prepare and document insurance incident reports on an as needed basis.
- Perform other tasks as needed to support the portfolio property management team.

What You Need for this Position

- Bachelors Degree required with a concentration in business, finance, accounting and or real estate.
- Minimum 3 years of considerable experience in commercial property management or real estate development (preferably with office, lab, and medical office buildings).
- Strong organizational, customer service, follow through, and analytical skills.
- Be a self-starter that is able to work independently as well as in a team environment.
- Proficiency in the Microsoft Office Suite with an emphasis on Excel.
- Experience with Yardi is preferred.
- Strong attention to detail with the ability to organize, prioritize and manage multiple job functions.
- A strong background in customer service.
- Working knowledge of building structures and systems.
- Experience in coordinating and scheduling teams and vendors.
